When can I index my rent?

You can index the rent on the anniversary of the lease's entry into force. Note: this is not the signing date, but the date the tenant effectively occupied the property. Indexation is not automatic — you must actively request it as a landlord. With our platform, every deadline is tracked automatically. Depending on the region, additional conditions apply, such as registration of the lease and/or a valid EPC certificate.
How is the indexation calculated?

The legal formula: new rent = base rent × new health index ÷ base index. The base rent is the original contract amount, excluding charges. The base index is the health index of the month before signing. The new index is the health index of the month before the anniversary. We retrieve these figures automatically from Statbel. Every letter states the full calculation with the index figures used and any correction factor, so you can verify everything via the official Statbel rent calculator.
What is the health index?

The health index is an official Belgian index calculated monthly by Statbel. It is derived from the consumer price index, excluding tobacco, alcohol, petrol and diesel. In Belgium, this specific index is used as the basis for rent indexation.
Does my lease need to be registered?

Yes. To legally index your rent, your lease must be registered with the FPS Finance. Registration of residential leases is free. Without registration, you cannot enforce the indexation. We do not handle registration, but once your lease is registered, we take over the entire procedure.
How does the EPC certificate work in Flanders?

Since 1 October 2023, rent may again be indexed in Flanders regardless of the EPC label. For labels A, B or C the standard formula applies. For labels D, E or F — or without a valid EPC — and where the lease took effect before 1 October 2022, a statutory correction factor applies that limits the indexation. For contracts that started on or after 1 October 2022, this restriction does not apply. Flanders is gradually tightening the rules: from 2028, properties with label E or F may no longer be indexed until the label improves. Our system automatically accounts for your EPC label and the contract start date.
Are there EPC restrictions in Brussels and Wallonia?

In the Brussels-Capital Region, similar EPB restrictions have applied since October 2022. In Wallonia, there are currently no energy-related restrictions on indexation, but legislation may evolve. Our platform is adapted per region.
Can I send the letter myself?

Yes. You can choose to use only our calculation and formatting. You then receive the indexation letter as a PDF by email and send it to your tenant yourself.
How far back can I claim if I forgot to index?
+
For residential leases you can recover a maximum of 3 months, counted from your written request. For commercial and common-law leases this is up to 1 year. The months before that are permanently lost, even if you haven't indexed for several years. That's why it's important to index on time every year.
What if my tenant disputes the increase?
+
Rent indexation is a legal right of the landlord, provided all conditions are met. Our letters always contain the full calculation with reference to official Statbel indices. However, we are not responsible for disputes between landlord and tenant. Following up on payment remains between you and your tenant; that is deliberately not part of our service.
What does the service cost?

€30 per year per contract, incl. 21% VAT. One fixed price, no surprises.
Can I cancel my subscription?

Yes, at any time. The current year remains active until the end of the paid period. No refunds for amounts already paid. Simple and no questions asked.
What if the lease is terminated?

If the lease ends, let us know. The contract will be removed from the system. If the property is sold, the new owner must subscribe separately.
What property types are supported?
+
All types: houses, apartments, commercial premises, offices, student rooms, studios, garages, warehouses. Both residential and commercial leases.
In what languages is the letter available?

Dutch, French or English, based on your tenant's preference. You indicate the language during registration.
When does my tenant receive the letter?
+
On the lease anniversary date. You receive a copy (CC) by email the same day. To build trust, we include the address of the relevant property in the subject line of every email, so your tenant recognises the message immediately and does not mistake it for spam.
How is my data protected?

In compliance with the GDPR. Our servers are located within the European Economic Area. All connections are encrypted via SSL/TLS. We never sell data to third parties. See our full privacy policy for details on processing, retention periods and your rights.
Do you account for verbal agreements?

No. We base the indexation calculation exclusively on the written contract data you provide. We are not responsible for verbal agreements between landlord and tenant that exclude or limit indexation. It is your responsibility to verify whether special arrangements apply.
How do I submit my lease?

You enter the contract details once via our online form. There's no document to upload or send — it only takes a few minutes, and after that everything runs automatically.
I have multiple leases. How does it work?
+
Each lease is registered and calculated separately. You pay per contract per year. Your dashboard provides an overview of all contracts, upcoming indexation dates and dispatch status. You add unlimited contracts under a single login, each with its own subscription of €30 per year, which you can cancel separately when a tenant leaves. Ideal for landlords with multiple properties.
Can commercial leases be indexed?

Yes. Commercial leases (shops, hospitality, offices, warehouses) can also be indexed via our platform. Important: for a commercial lease, indexation is only possible if the contract contains an indexation clause (for a residential lease it is legally allowed even without a clause, unless expressly excluded). The formula is the same as for residential leases. The EPC restrictions that apply in Flanders for residential properties do not apply to commercial premises.
What if the health index drops?

In exceptional cases, the health index may drop, resulting in a lower calculated rent. In that case, the rent cannot fall below the base rent of the original contract. In practice, the health index has almost always risen over the past decades, making this very rare.
Are you active across all of Belgium?

Yes. Our platform is available for landlords in all three regions: Flanders, the Brussels-Capital Region and Wallonia. Our system accounts for the specific legislation, EPC restrictions and language requirements per region.
